Special Assistant for Front Office Support

Job Description:

The purpose of this position is to provide support services to the U.S. Agency for International Development (USAID), Bureau of Legislative and Public Affairs (LPA) in Washington D.C. Will help with efforts across, up to, 7 different offices within the LPA through administrative, programmatic, and technical support that will supply services to support LPA in accomplishing Agency priorities.

Located: Washington D.C. area

Education: Bachelor's Degree Required

Experience: Minimum 4 years of relevant experience

Clearance Requirement: No Clearance Requirement

Other Qualifications:

  • Requires proficiency in the use of Microsoft Office, Internet and e-mail applications.
  • Ability to manage several tasks simultaneously, as well as work within tight schedule constraints, is critical.
  • Must possess the skills necessary to resolve conflicts and respond promptly to the ever-changing demands of the principal.
  • Excellent writing, communication and presentation skills are required

Job Type: Full-Time

Responsibilities include but are not limited to:

  • Serves as a senior advisor to the front office principles to perform work of broad scope and complexity under the direction of the AA and/or DAAs.
  • Excellent skills in planning and organizing to systematically coordinate, track, and complete workflow to maintain an efficient office environment.
  • Serves as a focal point for the Front Office operations and oversees and manages the flow and exchange of information, streamlines interactions with internal and external customers and facilitates initiatives on behalf of the AA and DAAs.
  • Schedules and manages the principles calendars and controls access to the principles, determining the importance of the issues for each meeting and following protocol procedures for contacting parties.
  • Monitor email for action items and glean items from staff meetings and weekly reports that require action; creates a system to generate reminders of completion deadlines.
  • Drafts and prepares correspondence on behalf of the principles.
  • Researches and prepares background information and/or talking points papers, as needed on the meeting attendees and/or topics of interest for the meeting.
  • Develops and maintains accurate records and files management systems.
  • Makes appointments, travel arrangements, and itineraries; assembles or ensures that packets of information or briefing materials are prepared and accurate expense statements.
  • Extensive knowledge in the use of MS Office, the Internet, and other internal applications.
  • Excellent oral and written communication skills sufficient to compose and deliver responses to complex questions in a clear and concise manner and deal with a wide range of people and personalities.
  • Strong planning, management and execution skills.
  • Ability to adapt to changing work requirements and priorities.
  • Exercise a wide degree of creativity and latitude in developing and coordinating projects on behalf of the AA.
  • Relies on extensive experience and judgment to plan and accomplish project goals utilizing strong organizational skills.
  • Participate in high level meetings and travel as needed.
  • Perform other work-related duties as assigned.
